HIPAA-Compliant Healthcare Software Development

Quantic Systems builds HIPAA-compliant software for healthcare: SaaS products, clinical workflow tools, and AI features that touch patient data. We also build and run our own HIPAA product, TasiPsych. We know where the hard parts are, because we have had to solve them ourselves.

The Problem

The problem with most healthcare builds

Healthcare software rarely fails on the screens. It fails on the data.

PHI ends up in logs, analytics tools and AI prompts it was never meant to reach. Access control gets added after launch. Nobody decided how long session recordings are kept. A vendor in the stack never signed a BAA. Then a customer's compliance team asks for an audit trail, and there isn't one.

Each of these is cheap to decide in week one and expensive to fix in year two. We decide them early.

What We Build

What we build

Healthcare SaaS

Multi-tenant products for practices, clinics and healthcare operators, with tenant isolation enforced at the data layer. SaaS product development →

Clinical workflow tools

Documentation, intake, consent, assessments and scheduling built around how clinicians actually work.

AI on clinical data

Copilots, documentation assistants and agents with PHI redaction, logging and human review built in. AI copilots and agents →

EHR workflows

Getting data into and out of the systems clinicians already use, without asking them to switch.

Patient-facing flows

Forms, screening assessments, messaging and payments that collect sensitive data safely.

Internal platforms

Operational tooling for healthcare teams that have outgrown spreadsheets and disconnected tools.

Compliance

How we handle HIPAA

HIPAA is not a feature we add at the end. It shapes the architecture. These are the controls we design into every healthcare system we build.

PHI flow mapping

We map where PHI enters, where it is stored, and every system it touches. Anything that does not need PHI does not get it. That includes logs, analytics and error tracking.

Encryption and access control

Data is encrypted in transit and at rest. Access is role-based and scoped to what each user needs. Row-level security keeps one tenant's data away from another's.

Audit logging

Access to PHI and every sensitive action is logged, so you can answer who saw what, and when.

Retention and deletion

We set retention rules per data type, so nothing is kept longer than it needs to be. Raw recordings and uploads can be removed as soon as they are processed, while records you are required to keep are retained for the full period. When something is deleted, it is deleted everywhere it lives.

AI without leaking PHI

Identifiers are redacted before clinical content reaches an AI model. That control is enforced by the system, not left to a setting someone can switch off. Patient data is not used to train models, and every AI call is logged.

BAAs as standard practice

Signing a Business Associate Agreement is a regular part of how we work on any project that involves PHI. We also make sure every cloud, AI and third-party service in your system is covered by a BAA before real patient data arrives.

Process

How we work

  1. 01

    Discovery

Users, workflows, the PHI involved, integrations and the vendors in play. The output is a defined first release and a written estimate.

  2. 02

    Architecture

Tenancy model, data design, PHI flow, auth, hosting and BAA coverage. These decisions are written down, because they are expensive to change.

  3. 03

    Build in short cycles

Working software early, so clinicians and operators can react to it.

  4. 04

    Launch

Monitoring, backups, audit logging and a release process are live before real patient data arrives.

  5. 05

    Iterate

The same team keeps building after launch.

Proof: TasiPsych

TasiPsych

TasiPsych is clinical documentation software for behavioral health. Quantic Systems designed, built and operates it.

It turns a recorded session into a structured note from more than 50 behavioral health templates. An audit engine checks every note against 42+ built-in rules for compliance, documentation completeness, clinical risk and billing defensibility. Coding insights suggest CPT, DSM-5-TR and ICD-10-CM codes with a confidence score and the reasoning behind each one. A free Chrome extension moves the finished note into the clinician's EHR in one click.

It is HIPAA-compliant, runs on infrastructure covered by a signed BAA, and includes a BAA with every customer account.

Who this is for

Healthcare founders who need a HIPAA-ready product built by a senior team.

Practices, clinics and behavioral health organizations that need software shaped to their workflow.

Health tech companies adding AI to a product that handles patient data.

Teams whose prototype worked but was never built to handle PHI.

FAQ

Frequently asked questions

What makes software HIPAA compliant?

There is no official HIPAA certification for software. Compliance comes from how the system handles protected health information: encryption in transit and at rest, role-based access, audit logs, retention and deletion rules, signed Business Associate Agreements with every vendor that touches PHI, and the policies of the organization running it. We design those controls into the architecture from the first release.

Do you build HIPAA-compliant software from scratch?

Yes. We build healthcare SaaS, clinical workflow tools and internal platforms end to end: discovery, architecture, build, launch and ongoing iteration. Our own product, TasiPsych, is HIPAA-compliant clinical documentation software that we designed, built and operate.

Can AI features be used with patient data under HIPAA?

Yes, with the right controls. We minimize what reaches the model and redact identifiers before clinical content is sent to an AI provider. That control is enforced by the system and cannot be turned off by a user. We only use AI providers covered by a BAA, patient data is not used to train models, and every call is logged.

Will you sign a Business Associate Agreement?

Yes. Signing a BAA is standard practice for us on any project that involves PHI. We also make sure every cloud, AI and third-party service in the system is covered by its own BAA before real patient data arrives.

Which cloud do you use for HIPAA workloads?

We build on the major cloud platforms and work with whichever one your team already uses. What matters is that every service touching PHI is covered by a BAA and configured for it, not which cloud you pick.

Can you integrate with our EHR?

Usually. Where an EHR offers an API, we scope a direct integration in discovery. Where it does not, we find another reliable path. We have built a browser extension that moves finalized notes into web-based EHRs without a separate integration for each vendor.

How much does HIPAA-compliant software development cost?

It depends on scope, integrations and the PHI the system handles. Compliance work adds design and testing time, so we scope it explicitly. After a short discovery call we give a written estimate tied to a defined first release.
